Documentation

Everything lemon.gallery does, and how to use it. Each feature below is explained in plain steps — the same walkthroughs you see inside the app via the ? button. New here? Skim Getting started, then jump to whatever you need.

Getting started

Your dashboard

1
Welcome 👋

This is your home base. The numbers up top show your funnel — profile views, package clicks and bookings — for the last 28 days.

2
Your money at a glance

Revenue, sessions booked, unpaid invoices and total clients sit together so you always know where things stand.

3
Pin your tools

Under “My tools”, hit Customise to pin up to 6 tools you use most, so they're one click away every time you log in.

4
The rest of the app

The icons on the left are your five sections. Each opens a hub with all its tools. The bell (top) collects notifications; Downloads (bottom-left) has the apps and plugins.

Settings

1
Your studio profile

Business details, branding, watermark and your public page all live here — this is what clients see on invoices and galleries.

Integrations

1
Connect your tools

Link Google Calendar, Stripe, your own AI key, WordPress and more. Google + Stripe unlock booking sync and payments.

2
Desktop worker

Run this studio's AI tasks on your own computer, on your own Claude. Create a worker key here, pair it with the lemon-worker app, and while it's online every AI draft costs zero credits.

3
MCP token

Give your own Claude (Claude Code or Desktop) a scoped key so it can manage this studio directly — build funnels, draft campaigns, run outreach. Everything it makes lands as a draft for your review.

Account

1
Your studio and plan

Your profile, team, billing and integrations live here. This is where you manage the business behind the scenes.

Billing

1
Your plan

See your current plan and upgrade for more galleries, AI and team seats. Changing plan takes effect straight away.

2
AI

AI is not billed here. It runs on your own connected Claude, or on your own Anthropic API key — set either up under Account → Integrations.

People & CRM

Leads

1
Where enquiries land

Every new enquiry — from your booking page, embedded forms, or added by hand — shows up here first.

2
Reply fast

Open a lead to see their message and details. The quicker you reply, the more you book — you can draft a reply with AI and tweak it.

3
Move them along

Mark a lead as won to turn it into a project, or archive the ones that go cold. Won leads flow into your pipeline automatically.

Clients

1
Everyone you've worked with

This is your contact book — search anyone, see their history, lifetime value and every gallery, file and document tied to them.

2
Open a client

Click a client to see their projects, bookings, signed contracts, questionnaire answers and files — all clickable.

3
Their private hub

Turn on the Client Hub to give them one private link with all their galleries, files, paperwork and a live “track your job” status. You control what they see.

Tasks

1
A to-do list that fills itself

Tasks appear automatically: a job enters an editing stage, a lead goes quiet, a payment falls due. You never have to remember the routine follow-ups.

2
Work through them

Tick a task to close it. Some reopen if the underlying thing changes (a lead replies, a stage moves). Add your own tasks by hand too.

Inbox

1
Client email, in your CRM

Coming soon: when a client replies, the message will land here against their lead and job, so the whole conversation lives with the work.

2
Why the wait

Reading your inbox securely needs Google's formal approval, which is in progress. Until then, every message the studio sends is already logged on the relevant lead or invoice.

Diary & booking

Calendar & production heat

1
Two-way Google sync

Your month, synced both ways with Google Calendar. Connect it in Account → Integrations if you haven't.

2
Production heat

The colours show how busy each day really is — shoots, editing workload spread before each deadline, plus your Google Calendar commitments. Striped days are overbooked.

3
Set your working hours

Open the ⚙ settings to set your weekly hours, working days, work start/end and lunch. These power the auto-scheduler.

4
Auto-organise

Hit “Auto-organise” and the app fills your free working time with colour-coded editing blocks on a separate “Organise” calendar — around your meetings and lunch. Nothing touches your real diary.

Bookings

1
Your sessions

Confirmed and pending bookings live here. Clients book themselves through your public page and can reschedule via their own link.

2
Availability

Set your weekly availability so clients only see times you're actually free — it syncs against your Google Calendar.

Instant booking

1
What clients can book

Set up your services, the sessions inside them, and package deals — each gets its own instant booking page.

2
Price options

Give each session price options (e.g. Digital only / Prints included) with an optional description so clients know exactly what they're choosing.

3
Add-ons

Offer upsells like an extra hour or more edited photos — clients can add them at booking.

Mini-sessions

1
One date, many slots

Perfect for Christmas minis or headshot days: set a date, a slot length and a price, and the app builds all the bookable slots on one page.

2
Clients pick a slot

Share the link; clients grab a time and pay the deposit. Taken slots disappear so you never double-book.

Jobs & paperwork

Projects

1
Your pipeline board

Every job moves across stages here — drag a card between columns as it progresses.

2
Auto-updating stages

Some stages tick themselves: a signed contract, a paid deposit or a delivered gallery advances the job without you lifting a finger.

3
Client sees progress

A project's stage drives the “track your job” bar on the client's hub, so they always know if you're culling, editing, in revisions or done.

Contracts & releases

1
Pick a template

Start from a built-in contract or release, or one of your own saved templates.

2
Fill-in variables

Any {{variable}} you write becomes a simple fill-in box — change the fee or date without editing the wording. Save your own templates for next time.

3
Send to sign

Email a signing link, or capture a signature in person with a QR code. Signed contracts advance the project and appear on the client's hub.

Questionnaires

1
Ask what you need

Build intake forms to gather shoot details before the session — link them anywhere or drop them in a booking confirmation.

2
Answers land on the client

Every response is saved and shows on that client's profile, so all their answers are one click away.

Automations

1
Emails that send themselves

Pick a trigger (booking made, contract signed, invoice paid…) and build a flow that runs whenever it fires.

2
Build the flow

Add Email, Wait, Condition and Event blocks. Drag the tree into shape — waits stack down a path, conditions split it, and an Event block pauses until something happens for that client.

3
Turn it on

Every flow starts OFF. Flip on the ones you want; the Activity tab shows everything that's been sent.

Galleries & delivery

Client galleries

1
Deliver & sell photos

Upload a gallery, style its cover and layout, then publish and share the link — or embed it on your own site.

2
Sales & downloads

Attach a price sheet to sell prints and digitals, set a download PIN or limit, and let clients favourite their picks.

3
Cinematic slideshow

In the gallery's settings, add a music track and an intro card. The client's slideshow then opens with their names over music — the reveal that sells prints and albums. (Video delivery is coming soon.)

4
Stats & sign-ups

Each gallery's Stats card shows views, downloads and email sign-ups — and you can route those sign-ups straight into a marketing list.

Portfolios

1
Your best-of

Portfolios are curated showcases pulled from any gallery. Heart an image in the gallery editor and it joins the portfolio you choose.

2
Show them off

Each portfolio has its own public page you can share or feature on your site — your strongest work, without re-uploading.

Lemon Live

1
Live event delivery

Photos hit a public gallery within seconds of being shot. Guests scan a QR and download on the spot — open, email-gated or paywalled.

2
Scan batches

Set a batch window so each guest sees only the photos taken around their own scan, not the whole event — they scan again after a later set to add it.

Transfers

1
Send big files

Like WeTransfer, but branded and tracked — you see exactly when files are viewed and downloaded.

2
Attach to a job

Link a delivery to a client's project and it shows up on their hub under that job automatically.

Sales & money

Invoices

1
Get paid by card

Create a branded invoice with line items; the client pays online via Stripe. A “Pay now” button takes them straight to checkout.

2
Deposits & schedules

Split an invoice into a deposit and balance, add automatic overdue reminders, or set it to recur.

3
Tax & refunds

Set a tax rate, and tick tax-inclusive if your prices already include VAT (your VAT number, from Settings, shows on the invoice). A paid invoice gets a Refund button — refund all or part, and the client is emailed automatically.

Price sheets

1
Set your prices

Define what prints and digital downloads cost. Attach a price sheet to any gallery to open its shop.

Orders

1
Every sale in one place

Gallery and product sales land here — what sold, for how much, and its fulfilment status.

2
Receipts & refunds

Grab a receipt for any paid order, or hit Refund to send money back through Stripe — full or partial. A fully refunded order is marked refunded and the client is emailed.

Expenses & profit

1
See profit, not just revenue

The three tiles up top show this year's revenue, expenses and the profit between them, so you always know what you actually kept.

2
Log a cost

Add an expense with an amount, what it was for, a category and the date. Link it to a job to track that shoot's true margin, or tick rebillable to pass it to the client later.

3
Filter and review

Filter by category to see where the money goes. Everything here feeds the profit line on your Analytics too.

Digital products

1
Sell your files

Presets, LUTs and guides: upload the file once, set a price, share the link. It sells while you sleep.

2
Delivery is automatic

When someone buys, they get a secure download link by email and you get paid. Track sales and revenue right here.

Coupons

1
Discount codes

Create a code for a fixed amount or a percentage off gallery purchases — handy for a launch offer or a returning client.

2
Share it

Clients enter the code at checkout in a gallery shop. Turn a code off any time.

Affiliates

1
Referral partners

Give partners a link that credits them when someone they send signs up or buys. Their referrals and commission are tracked here.

Marketing & growth

Home Page Editor

1
Build from blocks

Your public homepage is made of blocks — hero, gallery, services, testimonials, a lead form. Add, reorder and edit them; the preview updates live.

2
Make it yours

Pick fonts and colours in the theme panel. A services block plugs straight into booking; a lead-form block captures enquiries into your CRM.

3
Publish

Hit publish and it becomes your public page at your handle (or your custom domain). Unpublish any time to fall back to the template.

Marketing

1
Build an audience

Create lists, or build a Segment from what clients have actually done (spent over £X, booked a service, gallery expiring soon).

2
Drips & campaigns

Set up automated drip flows that fire when someone joins a list, or send one-off campaigns — with open and click tracking.

3
Make it yours

In the Sender tab, set your own from-name and reply-to so marketing reads as you, not as lemon.gallery.

Funnels

1
A guided path to booking

A funnel is a short, multi-step page that qualifies a visitor and captures their details. Answer a few questions and AI builds one for your exact offer.

2
See where they drop

The metrics show which step loses people. Let AI rewrite the weak step, or edit any step's copy yourself, then go live and share the link.

Adverts Plus

1
A complete ad plan

Answer a few questions about your offer and budget, and get a full Google or Meta campaign: ad copy, keywords, the negative keywords beginners miss, and targeting.

2
Copy and launch

Everything is copy-ready for Ads Manager. Past plans are saved here so you can reuse and refine them.

Outreach

1
One pipeline, three channels

Warm LinkedIn leads and the niche email prospector share one pipeline here. Everything follows the same path: a signal comes in, it gets scored, a message is drafted, you approve, it sends.

2
Signals

The home tab is a live feed of buying signals (an event coming up, a business opening, a launch). Each is heat-scored. Hit Draft to write a message from it, Snooze it, or mark Not a fit.

3
Pipeline

Every lead across all sources, grouped by stage (new, qualified, contacted, replied, booked). Filter by source to see just LinkedIn-warm or just the email prospector. Click a lead for its full history.

4
Inbox & approvals

Nothing sends on its own. Drafts wait here for you to approve, edit or bin. Approve an email and it goes out from your own address; LinkedIn and Instagram messages drop into the outbox for your desktop sender routine.

5
Targeting

Add niches (who you go after and how the opener reads) and locations (each carries its own event feeds, pulled automatically). Add a city or a new niche and the whole engine picks it up.

6
Settings

Set your sending identity (emails go out as you, not lemon.gallery), daily caps per channel, working hours and the kill switch. The engine itself — scoring, caps, cadence, feeds — runs without AI; Claude only writes the drafts.

Lemon Growth (SEO)

1
SEO & GEO autopilot

Answer a few questions about your studio and it builds a 30-day keyword plan and publish-ready articles around your own photos.

2
Straight to WordPress

Connect your site and approved articles publish for you. Runs on your own AI key or credits.

PR Desk

1
Turn your work into press

PR Desk finds genuine story angles in your real work and writes a ready-to-send pitch for each — grounded only in what you entered, nothing invented.

2
You add the contact

It won't invent a journalist's email; it tells you how to find the right person. Add the contact, then send from your own inbox at a strong time.

Referrals & retainers

1
Repeat work, drafted for you

When you deliver a job, the app drafts a review request and a note to the venue or planner. Each quarter it drafts rebooking and retainer pitches to past clients.

2
You review and send

Everything lands as a draft here. Edit, then send from your own email — nothing goes out on its own.

AI & extras

AI tools

1
Everything AI, in one place

The outreach agent, SEO growth, PR Desk, referrals, funnels, ad plans and photo/video edit all live here.

2
Your own AI

These run on your connected desktop Claude, or on your own Anthropic API key — never on ours, and never billed through your plan. Nothing sends without your review.

Second brain

1
What it is

A map of everything your studio knows about itself: your clients, your jobs, what people actually pay, the work you're proud of, and the reasoning behind your choices. It gets a little bigger every time it runs.

2
It lives on your machine

The brain is built and kept on your own computer by your desktop Claude — set that up from Integrations, then it runs itself. Only the written notes are backed up here; your photos and videos never leave your machine.

3
Tell it what's true

Add the things it can't work out on its own: your lowest price, what you won't shoot, how you talk about your work. Every AI feature in lemon.gallery reads these, and none of them will write anything that contradicts you.

4
Watch it grow

The map shows how everything connects, coloured by the groups it has worked out for itself. Press play to watch it branch out from the day it started. A ring around something means you said it yourself.

5
When it disagrees with you

If your agent spots something that clashes with what you've said is true, it won't pick a side. It flags it here for you to settle, so nothing quietly rewrites what you believe about your own business.

6
Planning, after a month

Once it has a real month behind it, three tasks open up: business planning, routes for revenue, and optimisation. Your desktop Claude runs them off the whole brain, and the plan lands here.

7
Mark up the plan

Highlight any part of a plan and say whether it lands, with a note if you want. The next run rewrites it around your marks — what you mark down doesn't come back. Accept one and the run after turns it into concrete steps.

Photo & video edit

1
Client feedback, precise

Share a video for review; the client leaves comments pinned to the exact second. Their change requests become a clear edit plan you can work through.

2
Approve to finish

When the client is happy they hit approve, and you know the cut is signed off.

Dashboards

1
Your numbers, your layout

A ready-made overview page shows revenue, enquiries, bookings, top galleries and where visitors come from. It's fully editable — nothing here is fixed.

2
Build your own

Hit Edit, then click any widget to change what it shows: the chart type, the metric, the time window, colours and labels. Drag to rearrange, resize with the arrows, and add new widgets from the + tile.

3
Up to five pages

Add tabs for the views you check at different times — a money page, a marketing page, a galleries page. Double-click a tab to rename it.

4
Deeper digging

For overlaying any two numbers against each other over time, Insights is the companion tool — this page is the at-a-glance picture.

Team

1
Add your people

Invite associates or second shooters so they can help run the studio. Available from the Studio plan and up.

2
What they can see

Team members work inside your studio; you stay the owner and control billing and account settings.

Frequently asked questions
What is lemon.gallery?

One place to run a photography or videography studio: client galleries with print and digital sales, a booking page, invoices, contracts, a CRM, marketing, outreach and AI helpers. It replaces a stack of separate tools like Pixieset, HoneyBook and Mailchimp.

How much does it cost?

There's a free plan (a full CRM, booking page and contracts, with a small fee on gallery sales), then paid plans from £9/month that remove the sales fee and add galleries, AI and more. See the pricing section on the homepage.

Do I need anything else to take payments?

You connect your own Stripe account (free to create). Clients then pay you directly for bookings, invoices and gallery orders; the money lands in your Stripe, not ours.

Where are my photos stored?

In secure cloud object storage. Your photographs are never fed to image-generating AI and never altered — the only AI in the platform drafts words and admin, which you always review.

Can I use my own domain?

Yes. On the Pro plan and up you can point your own domain at lemon.gallery so your public page, galleries and booking all appear on your URL.

Can clients buy prints?

Yes. Attach a price sheet to a gallery to open its shop. Print items with a Prodigi SKU fulfil straight to the lab automatically; digital downloads deliver instantly.

Can I issue refunds?

Yes — a paid order, invoice or booking has a Refund button that sends money back through Stripe (full or partial) and emails the client.

How does the AI work, and does it cost extra?

Every AI feature (outreach, SEO articles, PR pitches, reply drafts, forms and pipelines) runs on your own connected Claude, so there's nothing metered and nothing extra to pay. There's no app to install: copy one setup prompt from Account → Integrations, paste it into Claude Code, and it configures your machine and schedules whichever routines you want. Prefer to run in the cloud instead? Add your own Anthropic API key there and it uses that. Nothing sends without your review.

Is my clients' data private?

Yes. You're the controller of your clients' data and we're your processor. We never sell data, and every studio's data is isolated. See our Privacy Policy for detail.

Can I import from Pixieset / HoneyBook / ShootProof?

You can bring across contacts and rebuild galleries; most studios move over a few weeks while running both. Reach out and we'll help you plan the switch.

What's coming next?

A two-way email inbox, SMS reminders (Pro and up, with the texts themselves billed per message or sent through your own Twilio), video in galleries, an album designer and find-my-photos face search — each is marked 'coming soon' in the app where it'll appear.

Ready to run your whole studio in one place?

Free to start — a full CRM, booking page and contracts, no card needed.
